This is our first time going to Nfinity America's Cheerleading Cup Nationals and I have a lot of questions, but my biggest are the ones I've listed below. Any and all ideas/information is welcome and much appreciated!
  1. How do you get your equipment from your home state to Nationals when flying? We're planning for one duffle bag of poms, 3-4 large megaphones, and 5-6 signs.
  2. If athletes are traveling without their caregivers to Florida, how do you help with boarding (specifically the part of needing identification for check in, TSA, etc.)?
  3. What is the best way you've found to keep all of the information organized? Do you put it all in a Google Document/File, paper copies, bit of both?
 
1. Usually, 1 athlete is assigned something to carry as their carry on, especially if they're not planning on bringing a carry on (3-4 athletes with a megaphone each, etc.)

2. What age? Check in as a group at the group check in counter. Which means everyone needs to be at the airport early and together before checking in. Security together. and everyone waits on the other side for the group to finish (out of the way, where you're allowed to wait). See if you can pre-board as a group, and then you go to the front and have each kid check in, and then you're the last to board. They are responsible for their documents, and parents/athletes need to understand that if they lose them and can't travel, they are going home at the parent's cost. Check with the gate agent, and they will let you know when you can board, but I would board as a group with you last making sure everyone has gotten on the plane. I assume you have more chaperones than just you? If so, send 1 first and you at the end to bookend the group through every area. Have a number system where each athlete is assigned a number of(1-20, for example). Have them count off after each section and each time before and after you move, so you know everyone is listening, ready to go, and arrived where they were supposed to. Practice this before you leave - they will suck at it at first

3. I bring a paper copy of everything in a binder/duotang that stays in my back pack. Any other chaperones have a copy as well, plus digital copies accessible on my phone. Copies of kids passports (if needed), insurance, Visas, parental permission to travel with their child forms, whatever info I've sent to parents, plus a copy back with my Admin/gym owner/gym

I'm a coach and teacher who has taken kids and teams on multiple international trips, both for athletes and school trips. Feel free to ask if you have more detailed questions
